Seat 01 · Start here
Operations Controller
The admin and project-support seat. This is the first hire for most builders because it clears the widest band of hours — and because everything it touches is something you're currently doing after dinner.
What they do
- Compile and issue progress claims on time, every claim period
- Maintain the variation register so nothing gets built and never invoiced
- Track subcontractor insurances, licences and expiry dates
- Raise and reconcile purchase orders against deliveries
- Keep site diaries, SWMS and safety documentation current
- Chase suppliers, book trades and hold the schedule together
- Manage the inbox, the calendar and the follow-ups you keep losing
Seat 02 · Most requested
Construction Estimator
The seat that turns quoting from a bottleneck into a production line. Slow quotes lose work; rushed quotes win work you'd rather not have. An estimator seat fixes both problems at once.
What they do
- Produce accurate quantity take-offs from drawings and specifications
- Measure to Australian standards and your own measurement rules
- Build tender-ready bills of quantities in Excel or your estimating software
- Price from your rate library — your margins, your rules, not theirs
- Prepare subcontractor and supplier quote comparisons
- Flag drawing discrepancies and missing information before they cost you
- Keep rate libraries and historical cost data current
- Track tenders submitted versus won and support post-tender reviews
Seat 03
Construction Bookkeeper
The seat with the clearest return and the highest trust barrier — which is why we over-engineer the controls around it. If you know your jobs are profitable but your bank account disagrees, this is the seat.
What they do
- Accounts payable: code, match and schedule supplier invoices
- Accounts receivable: issue, chase and reconcile — including retentions
- Job costing, so you know the margin while you can still change it
- Payroll processing and superannuation reconciliation
- Bank and credit card reconciliations, weekly not quarterly
- BAS and reporting preparation for your accountant to sign off
Seat 04 · $5M+ builders
Quantity Surveyor
Measurement, valuation and cost control at a level most builders under $10M can't justify hiring locally. Usually the second seat, added once the estimating seat has proven itself.
What they do
- Detailed measurement and full bills of quantities
- Progress valuations and monthly cost reporting
- Variation assessment, substantiation and negotiation support
- Cost-to-complete forecasting and margin tracking by job
- Final accounts and post-project cost analysis
Seat 05 · Highest value
Architect / Draftsman
Documentation and BIM coordination. The seat that stops you waiting three weeks on an external drafting practice every time a client changes their mind about a kitchen.
What they do
- Construction documentation sets and detailing
- Production drafting in Revit, AutoCAD or ArchiCAD
- Council, certifier and authority documentation packages
- Model coordination and clash detection across disciplines
- As-built drawings and drawing register control
- Marketing and client-presentation drawings when you need them
